Q: The parks and recreation dept is currently one of four independent city depts. The city is considering combining P&R, Fire, Utilities and Police in to one dept. So the mktg dept of P&R would have to produce all public information for the other three depts. as well as the mktg for P&R but with on staff increase. Gale is asking if there is any documentation regarding the repercussions of such a step.

A: This is a step that must be thought through carefully.  The marketing department for P&R might be able to take on more production of promotional and PR materials, but this should not be at the expense of promoting P&R programming. Of the four departments, only parks and recreation are responsible for revenue generation. Marketing is key to successful revenue generation, so it is essential that the brochure for the recreation program be maintained at its current level. It would be detrimental and ineffective to incorporate PR for the other three departments into the recreation brochure, and this should absolutely not be done. Such a move could negatively impact registration numbers for recreation programs, and typically is not an effective method for creating awareness about other departments.

LERN would strongly recommend creating a promotion plan for all departments, scheduling of various promotions so as not to negatively impact promotion of recreation programs and so as not to overwhelm marketing staff. LERN has a free software tool for members--the promotions tracking tool--which can greatly increase the efficiency of marketing efforts. We would be happy to give you a demonstration of this member service and show you how to set up your promotion schedule in it.
